Software Freedom Day 2010 will be held on Saturday, 18th September.

Venue

We have signed a contract to hold it at CentrePlace.

We did it here in 2006:

We need to decide what spot to setup our gears. There are two sides to the Mall:

Worley Place/Garden Place side The side with the movie theater and coffee shops

The two spots we are looking at:

1. The Crossroads. (3 on map 1)

$250. Outside EB Games, high traffic area and close to Garden Place.

2. The Fashion Lane. (1 - 5 on map 2)

$300. Near the coffee shops, and lots of shops where mostly women go. A good amount of traffic coming in from Victoria/Ward Streets, and a view from above on the second level.

There are other places, like the area outside of EziBuy that has a lot of space, and would be less hectic, but also less visible.

More things to organize

Tux - We need a small person, or several small persons to volunteer to walk around the mall in a penguin suit.

  • Requirements are that the penguin suit wearer is small, sociable, and a linux user. Bruce will get Punua to try out the penguin suit next week, although we probably want more than one person to take turns. Cairo will assist and care for the penguin on the day, and take a turn wearing the suit if necessary (although she's really too tall now).

4-5 Windows/Linux PCs - Ideally machines that are dual-boot, reasonably fast and with LCD screens. Four identical machines would be ideal. Four laptops would be even better, less setting up and packing away.

John can donate the use of his laptop for the day.

Printing - flyers/Library Display/membership forms

University might provide some printing. Ask for funding for some colour posters? Library display?

Others ideas

Survey to win a prize? (usually usb sticks) -- Approach DSE (and other FOSS-friendly places?) very soon for sponsorship, it takes them time to get this approved.

Sponsors/Donations

Velocity might help us get an Internet connection.

RimuHosting is usually good for $200 donation.

Planning follow up meeting at Hub events room #2 or Uni geared toward newbies.

  • Good supply of giveaways at frequent intervals (I had lots of questions on when the next draw was) -- Talk to DSE, PBTech etc for possible sponsorship. Soon!

Budget

Possible sponsors, get these sorted out well in advance

zcat's thoughts on structure;

  • Primarily I'd like this to run 'trade show' style. Various businesses are allocated table space and are responsible for their own display. Vendors pay a token amount per table to help cover other costs. Vendors need to confirm with us what they'll be putting
  • Greeters! We really need two or three people at the door all day to welcome people, hand out material..
  • Talks on various topics throughout the day. Very popular last year. We need someone to be responsible for organizing, announcing and facilitating this (it's a fulltime job)

  • hackfest -- tables, power, network (Wired and wireless if possible), several volunteers available through the whole day.
