When the WlugCommittee changes (or financial year changes) a number of steps need to happen.

IRD (Inland Revenue Department)

  • Write to IRD and advise them of the change of officers so that the new committee can talk to them. They won't accept a change of details often without it being in writing. You will need the IRD number of each officer (To do for 2007)
  • Advise IRD of postal address change if necessary. (To do for 2007)
  • File the annual accounts with them (post approval at AGM - only needed if over $1000 revenue from outside membership). (Not needed for 2007)

ASB (Auckland Savings Bank)

  • Get signatories changed. (To do for 2007)
  • Change postal address details if needed. (Not needed for 2007)
  • Account details are in Treasurer's box.

MED (Ministry of Economic Development)

  • File the annual accounts with them (post approval at AGM). This can be done electronically. (To do for 2007)
  • Update contact details of officers (To do for 2007)
  • Update PO box if needed (Not needed for 2007)

Orcon (http://orcon.net.nz)

  • Update postal address details if needed (Not needed for 2007)

Our server (WlugServer)

  • Expire all members (To do for 2007)
  • Renew all newly paid members (To do for 2007)
  • Send notifications asking for payment to everyone left (To do for 2007)
  • 90 days afterwards, move home directories to /home/expired-members/ (To do for 2007)
  • Change email aliases for secretary, treasurer, president @ wlug.org.nz (To do for 2007)

Wiki

  • Change WlugCommittee (and WlugBananaRepublic) page and any personal pages as appropriate (lots of links to Secretary might need updating) (Believe done for 2007, but double check)

University of Waikato (http://cs.waikato.ac.nz)

  • Get sponsorship renewal for room from Computer Science head of department (To do for 2007)
  • Get JamieCurtis to renew room booking each month before meeting (To do for 2007) See IdeasForFutureMeetings to see when it is booked to.

Email list

  • Make sure new members are signed up for the committee mailing list (JohnBillings has signed up for 2007)
